We are now looking for a Paralegal with focus on supporting the Legal Department by performing paralegal and administrative tasks as directed by the Head of Legal and other team members to join our head office in Malmö.
About the role
In the role as Paralegal in our global Legal Department, you will be a central support in managing various legal processes as well as the legal and administrative framework for our group companies across jurisdictions. This is a highly collaborative and hands-on role, ideal for someone who enjoys structure, is detail-oriented, and thrives in an international, fast-paced environment.
The legal function is led by VP Head of Legal Department, to whom you will report, and consists of seven legal counsels and the role as Paralegal.
It is a varied and dynamic role which encompasses the following responsibilities:
- Managing group internal agreements and maintaining both the digital contract archive and the physical archive at our Malmö headquarters
- Driving the digital signing process across the group using DocuSign
- Overseeing and continuously improving corporate administration for all group entities, both digitally and physically
- Handling documentation related to the company’s founding documents and governance structures
- Coordinating annual general meetings and extraordinary general meetings for Swedish group entities
- Managing company filings and registration matters with the Swedish Companies Registration Office (Bolagsverket)
- Collaborating with the Accounting team to ensure timely preparation and filing of annual reports for Swedish subsidiaries
- Maintaining and updating internal legal team sites and corporate documentation repositories
- Providing administrative support for cross-functional projects, such as M&A activities
- Leading the Corporate Checklist process and administering the group’s Legal Risk Reporting
- Supporting ongoing process improvement initiatives in collaboration with Finance, Legal, and IT – with a focus on digital transformation
- Assisting the Head of Group Treasury with administrative tasks related to transfer pricing
- Handling supplier and intercompany invoices, as well as supporting legal-related financial reporting
- Performing various administrative tasks to ensure smooth day-to-day operations within the Legal team
You will work from our head office which is located in the city center of Malmö, next to the train station.
What we are looking for
We are looking for a skilled and dependable professional with a strong foundation in legal and administrative work. This is a complex and varied role that requires both precision and a high level of autonomy. You may have a formal education in paralegal studies — or equivalent experience gained through hands-on work in a legal or corporate setting — but either way, your background equips you to navigate the demands of a global, fast-moving organization.
We believe you have:
- Either a completed Paralegal degree or equivalent professional experience from a legal department or law firm
- Proven experience working with agreements and corporate administration, including drafting minutes and resolutions, managing legal filings, and coordinating with authorities such as the Swedish Companies Registration Office (Bolagsverket)
- Confidence in using various digital tools and systems (e.g., SAP, iManage, DocuSign, ControlKeeper) and a high proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
- Strong communication skills in both Swedish and English, written and verbal, as the role involves frequent interaction with international stakeholders
